Intake Department Text Library
Every text subject the Intake team sends today, carried over verbatim from the S2S message tab. English and Spanish are one template with two bodies — staff pick the language, not a separate subject.
Read before editing — what is real and what is ours
Message bodies are verbatim S2S text, blanks and all. Nothing was reworded, and no Spanish was machine-translated — the five templates with no Spanish twin show an empty ES side instead of an invented one. "When it's sent" is our inference from each message body: the source tab has only Subject and Message columns, so the actual trigger, channel, and whether a subject fires automatically are unknown.
Two defects were found in the live S2S templates and are flagged on their rows rather than fixed here — Tried Calling greets every recipient as "Jacqueline", and VIM Scheduling tells English clients the meeting runs 1–2 hours while the Spanish version says 1 hour.
| Subject | When it's sent (inferred) | Languages | Fields to fill | Text |
|---|
What still has to be decided before these go live
- ⚑ PENDING which subjects fire automatically and on what event — the source tab records none, and Intake sends them by hand today.
- ⚑ PENDING which typed blanks become real merge fields. S2S writes
[Name],$XXX,XXX County,__ week,___ at ___ PST; this platform uses{name} {amount} {date} {time} {link}. - ⚑ PENDING channel per subject. The source tab lives under "Email" but is described as where you "text or email" — long ones (Voluntary Agreement, VIM Reminder) run several SMS segments.
- ⚑ PENDING whether the five English-only subjects should get Spanish twins — two of them (VIM Reminder, Deactivate notice) reach clients who chose Spanish earlier in the same flow.
Two messages reference a link the text never contains
Intake Invoice Link says "click on the secured payment link" and VIM Scheduling says "click on the link below", but neither body carries one — today the sender pastes it. Both are marked {link} candidates above.
Language forms are genuinely different documents
The Financial Assessment text carries a different HelloSign form per language (2BH9wPoL EN / 6NV5NhuT ES). That is correct behaviour, not a defect — the link is a per-language config value, not one URL with a translation.
Absence Auto-Notifications
Auto-issue a templated notice at each unexcused-absence count, with a one-tap reschedule deep-link for no-shows.
No-show reschedule deep-link
Every absence notice embeds {reschedule_link} opening the client's reschedule flow pre-filled to the missed session.
Send window ⚡ Confirm window
Hold auto-notices issued outside the window and release them once it opens, so no client gets a notice in the middle of the night.
| Trigger | Template issued | Channel | Reschedule link | Config |
|---|---|---|---|---|
| 1st unexcused absence | Schedule Change Notice (reminder) | SMS | Deep-link | |
| 2nd unexcused absence | Schedule Change Notice (follow-up) | SMS Email | Deep-link | |
| 3rd unexcused absence | Schedule Change Notice (warning) | SMS Email | Deep-link | |
| 4th unexcused absence | Final notice → AbsenceComplianceRouting | SMS Email | Deep-link |
County absence thresholds vary; the 4th-absence row hands off to AbsenceComplianceRouting for termination review per county rules.
Notification taxonomy — the DPO-notification driver
This registry is the source of truth for the automated DPO / social-worker notification set. Each agency-facing type below is one notice S2S auto-sends to the assigned probation officer; the Keep / Consolidate / Retire / Revise / New disposition is the Round 1 S2S decision for how it carries into V2. County-specific forks are being collapsed into County Rules rather than separate notification types.
| Notification Type | S2S Disposition | Future-state note | Template |
|---|
Disposition is the Round 1 S2S decision. "Consolidate" types are slated to merge into a single standardized notification; "Retire" types are dropped from V2 (county wording moves to County Rules; internal notes stop being agency-facing). The full text for the four compliance/victim-request emails is in the Compliance Template Library. The four financial-assessment types are registered from the FA SOP by their filing location only — S2S has not supplied their body text.
Financial-assessment note types — internal audit trail
✓ Confirmed — Financial Assessments · Client Success SOP (3/5/2025, Tina Saephan)Not client notifications: these are the note types staff select in the client’s Notes tab, plus the accounting-note format, exactly as the SOP names them. Verbatim strings — the spacing and the (DATE)/(INITIALS) placeholders are S2S’s own.
| Note type / format (verbatim) | Subject | Written when |
|---|---|---|
| Billing-Financial Assessment Eval Completed (Approved payment amount - verified income)Notes tab | “Client does not qualify for a weekly fee reduction at this time” | SOP Option 3 — income over the $2,500/month cap |
| FA DENIED: income too high on (DATE) (INITIALS)Accounting note | — (the note text is the format itself) | SOP Option 3 — alongside the note above; form uploaded as “FA Form DENIED” |
| Billing- Financial Assessment Form Offered to ClientNotes tab | “(DATE)” | SOP Option 4 — incomplete form, a new one sent to the client |
Why the note is the record: the SOP’s final step for every option is “Delete FA document (click on the 3 dots to the right and select delete for you) THIS IS THE FINAL STEP FOR ALL OPTIONS.”, so the uploaded form and these notes are what remain on the account. SOP also states: “ONLY JULIE AND MCKENNA DOES THE ASSESSMENT/EVALUATION”; the SOP covers the procedure excluding final approval.
