What happens after the client is notified
The notice is not just an alert — it asks the client to act, and their answer routes back here for a human decision.

Sent at each unexcused-absence threshold, escalating to Compliance when the county threshold is reached.
2 · Client answers
Asks whether they want to reschedule, or to give a reason — with the option to upload documentation.
3 · Human decides
Their answer enters the Compliance queue. Staff review the excuse and decide whether to excuse or issue. Nothing here is automatic.
4 · No answer
If the client does not respond and has not rescheduled, the absence is issued the following Monday.
⚑ PENDING — the shape of the response window
S2S marks this deliverable “In Progress”, and three things are not yet stated: how long the client has to answer before the Monday default applies, which notification channel counts as delivered, and whether uploaded documentation alone parks the absence while Compliance reviews it. The reschedule leg also has to respect the county make-up rule — in Alameda and Stanislaus there is no reschedule to offer.

Send window — row 5
The notice sends as soon as staff issues the absence, provided it is after 8:00am PT that day. Issued before 8:00am, it queues and releases at 8:00am the same day.
Previously modelled as a blanket hold-to-8am on every issue — corrected.
Reason taxonomy — row 6
Nothing auto-excuses. Every reason a client gives is reviewed by staff before excusing. The county rule set scopes which reasons a reviewer may accept — it does not decide for them.
Never excusable for non-payment unless the DPO chooses. No financial holds unless the DPO requests one.
Late / partial rule — row 7
Sessions run 2 hours with one 5-minute break. A client attending 105–110 minutes goes to staff review — the reviewer either issues the absence or grants credit.
The system never auto-issues an absence. It only sends the notices that follow a staff decision.
Make-up rule — row 8
Alameda & Stanislaus — no reschedules, absence issued the next day. All other counties — reschedule optional (fees apply), must be attended within the same week, so the absence is not issued until the following week.

⚑ One reconciliation needed. The 105–110 review band comes from Becky; the session rubric independently flags needs-makeup at more than 5 cumulative minutes missed without approval (i.e. under 115 of 120). The two thresholds are adjacent but not identical — confirm which governs the absence decision.

Hold Status Model (keep-spot vs release-spot)
Configured in County Rules →Client's seat is held in the class and freed into make-up inventory while they're out — rescheduled clients may book it. No absences accrue; the client resumes in the same group on release. No fee.
Seat is released back to capacity. On return the client is assigned to any currently open class — no re-enrollment (only Terminated clients re-enroll). No return fee when the hold lasted ≤ 2 weeks.
Auto-notify Client Success on clear
OnWhen a hold is cleared, Client Success is notified automatically so the client gets re-engaged on return. Toggle per-hold in the clear flow.
